Most AI workshops fail not on content but on transfer: lots of theory, little application, and a certificate instead of a working workflow at the end. This agenda is built differently. It is 100% hands-on, works with real tasks from participants’ daily work, and ends with a concrete 30-day plan.

The structure follows five building blocks: establish fundamentals, demonstrate live, practice by role, clarify governance and data protection, and agree on a measurable action plan. Both formats, half-day and full-day, share the same backbone. The full-day format deepens the role-specific exercises and creates more time for your own use cases.

Half-day workshop

4–5 hours

An ideal entry point for teams with an initial AI routine who want a shared standard and quick wins.

  1. 09:00 – 09:30

    Where you stand & goals

    A short stocktake: which tools does the team already use, where does it get stuck, what should be different after the workshop? We tune the agenda to the stated challenges live.

  2. 09:30 – 10:30

    Fundamentals & understanding data boundaries

    How language models actually work, what tools like Microsoft Copilot or ChatGPT Enterprise see of your data, and what is deliberately excluded. Builds trust and safe usage.

  3. 10:30 – 11:30

    Live demos: AI on real tasks

    Shown, not explained: summarizing documents, drafting emails, creating meeting recaps, researching across documents, using real examples from your daily work.

  4. 11:30 – 12:30

    Hands-on: build your own prompts

    Participants solve their own tasks on their laptops. Together we develop reusable prompts and reference files, people, and sources deliberately.

  5. 12:30 – 13:00

    Tool decision guide & 30-day plan

    Which tool when? The shared team standard plus a concrete action plan for the next 30 days so what was learned sticks in daily routines.

Full-day workshop

approx. 7–8 hours

For teams that need role-specific depth, longer hands-on phases, and governance clarity.

    Where you stand & goals

    A stocktake of tools in use, challenges, and goals. The agenda is tuned live to the reality of the team.

  2. 09:30 – 10:45

    Fundamentals, data boundaries & security

    How models work, what tools see of your data, permission-bound access, sensitivity labels, and data protection. The basis for working safely.

  3. 11:00 – 12:15

    Live demos across the tool landscape

    Chat and office tools working together: summarize, analyze, draft, meeting recaps, cross-document synthesis, each on real tasks.

  4. 12:15 – 13:00

    Lunch break

    A shared break with room for informal exchange.

  5. 13:00 – 14:30

    Role-specific hands-on labs

    Sales, marketing, HR, or leadership work in parallel on their own use cases. Each group develops ready-to-use prompts and workflows for their area.

  6. 14:45 – 15:45

    Governance, data protection & the EU AI Act

    Verify outputs, spot hallucinations, protect sensitive data, define approval processes. Plus: what the AI literacy obligation under Article 4 of the EU AI Act means for your team.

  7. 15:45 – 16:45

    Tool standard & shared ground rules

    The team-wide decision guide: which tool when, and when none. The result is a one-pager of shared ground rules.

  8. 16:45 – 17:30

    30-day action plan & next steps

    Measurable goals for the next 30 days, ownership, and an optional check-in after four weeks to secure the transfer.

Role-specific depth

A workshop that runs the same way for everyone helps no one properly. The hands-on phases can be tailored to the roles in the room. Here are the most common focuses:
